Minutes for HOA Board Meeting

 

 

Date:  1/13/09

Time:  6:15 – 7:30 pm

Location:  McAllister’s Deli

 

Board Member Attendees: Joel Shumate, Bill Lloyd, Mary Beth Turner, Dianne McCommon, Linda Toombs and Jenna Smith.  

 

Meeting was called to order at 6:15 p.m.

 

The Board approved minutes from the General Meeting and the current financial report was reviewed.

 

New Business:

 

·       Davis Lawn has underbid LSG Lawn Service by $1,000. The board voted in favor of accepting the bid from Lee Davis Lawn Service.

 

·       The Board received a request to add a fence line along Ontario connecting the new subdivisions fence line along to Germantown Road. The board tabled the vote until the Feb meeting in order for all members to view the area where the fence is proposed.

 

·       A car was broken into on Ontario.

 

·       The Board voted in favor of awarding $100 to anyone who reports information to the OBPD which leads to the conviction of anyone who vandalizes property whether on common ground areas or private property in the neighborhood.

 

 

 

Capital Improvement Follow Ups:

 

·       The board voted in favor of replacing the 2 dead/damaged trees in the common area at a cost of $300 per tree from Quality Landscaping. Jenna will obtain a second bid for the privet hedge along the fence separating PLHOA from the apartments. (1st bid from Quality was for $25 per bush planted with total of 60 needed = $1,500 plus tax).

 

·       The rocks need to be replaced on the upper lake and large lake dams. The upper lake and small lakes need culvert repair work done as the dirt has washed away parts of the culverts. These repairs will be made in the spring.

 

·       Two fountains have been installed (one in the large lake and one in the small lake). A third fountain will be placed in the large lake in the spring. No other fountains will be added until 2010 as other repair work on the lakes is needed.

 

·       It has been observed that nearly 1/3 of the houses in Plantation Lakes need to be repainted or need repair work of some kind. A newsletter will be distributed in the spring asking homeowners to repaint and repair damaged as needed.

 

 

The meeting was adjourned at 7:30 p.m.
